General Circulation Reservation Video Taping

GENERAL

USE OF EQUIPMENT

All users and staff of the Student Multimedia Design Center (SMDC) are bound by the University of Delaware’s Policy for Responsible Computing.

Access

  • Access to the open area workstations, Studios, and Classrooms is available to individuals with a valid UD ID or who have a valid ID card from the following:
    • Delaware State University
    • Delaware Technical and Community College

  • The Microforms collection and equipment, the Map Collection, and the CD-ROM collection and workstations are accessible to all users.

  • Individuals under the age of 18 who are not University of Delaware students may use the equipment in the Center only if accompanied by a parent or guardian who hold one of the accepted IDs.
  • Users may connect their own personal devices to the equipment; however, support for such equipment may not be available.

Consulting

  • Faculty and students are advised to have Student Multimedia Design Center staff provide an orientation to the resources in the Center prior to beginning a project.

  • Faculty seeking someone to instruct their class about a component of multimedia or students seeking additional help should schedule an appointment with Hannah Lee, Assistant Librarian or IT-Academic Technology Services. Submit an AskSMDC form to request an appointment.

Personal Data

  • The SMDC and its staff are not liable for any loss, damage or expense sustained by any user due to the use of the SMDC services, equipment, software or information.

  • Workstation hard drives are cleared of any user files each night.

  • Users may install their own software; however, support for such software may not be available.

Borrowed Equipment

  • Equipment for loan is available to University of Delaware students, faculty, and staff who must provide a valid UD ID.

  • If equipment is damaged in a manner not consistent with normal wear and tear, the borrower will be held responsible for replacement costs. For more information, see the Circulation policy.

Printing (self-service)

There is a fee associated with printing. In order to print, you must use the following:

UD1/FLEX Card (University of Delaware ID Card) OR

Library Copy Card

Please note: If you send and release a document to the color printer, you are charged $1.00, even if the document is only black and white.

The printing system automatically shuts down five minutes before the Center closes in order to ensure print jobs are finished at closing time.

CIRCULATION

Borrowing Materials

All borrowers must present appropriate identification when borrowing library materials. Faculty, staff and students must present their University identification cards. Continuing Education, Del Tech, and DelState cardholders will also be asked for supporting photo identification to borrow materials in-house. All IDs must be currently valid in the Library's borrower database. The individual associated with the ID or library card is solely responsible for all materials borrowed on his or her card and is liable for overdue fines and charges for lost and damaged materials. ID cards and library cards are non-transferable.

Loan Periods

Equipment Kits 3 days or 4 hours In Library Use
Laptops 4 hrs.

Renewals

Equipment Kits may not be renewed. The kit will need to be returned after the 3 days and will not be able to be checked out by the same user/group until 24 hours from the check-in time. An exception to this is hard drives. Hard drives may be returned and checked out again twice for a total loan period of 9 days.

Library Use Only Kits and Laptops may not be renewed online or by telephone, but can be renewed at our service desk for a total possible loan period of 8 hours.

Recalls/Holds

Equipment is checked out on a first-come, first-serve basis. A certain quantity of the equipment is Library Use Only to try to ensure that there will be something available for use. There is a loan limit of three days to try to ensure that cameras will be available for others to check out.

Kit Pieces and Batteries

During the check-in and check-out process, all kit pieces will be accounted for. If a kit component is not returned with the kit, the check-in process will be stopped and the user will be asked to take back the kit while he/she searches for the missing piece(s).  Normal late fees will still apply in such cases.  In the event the missing part is not found or the user knows that the part is lost, a replacement charge and associated processing fee will be added to any accrued fines.

Rechargeable batteries are provided as a courtesy to users. All batteries provided with kits need to be returned. If anticipating moderate to heavy use of the kit, we suggest asking for an extra set of batteries or charger for kits that have these as optional items.

Overdue Equipment

Borrowers are individually responsible for keeping track of due dates and for returning or renewing equipment by the date due. Overdue fines will not be waived on the basis of a failure to receive an overdue notice.

If equipment is not returned to the Student Multimedia Design Center before the due date/time, an overdue fine of 15 dollars per day, 1 dollar per day for cables, 1 dollar an hour for In-Library-Use Only items, and 15 dollars an hour for laptop loans, to a maximum of 165 dollars is charged. A user will also be blocked from borrowing additional Library materials if something is overdue.

If the equipment is not returned fifteenth day after the due date, the item will be declared Lost and the borrower is charged a replacement fee and an invoice processing fee in addition to the overdue fine. If an item is declared Lost, Student Multimedia Design Center staff will make efforts to contact the borrower. If after 30 days the item is still not found and returned, the replacement item will be purchased. Consequently, the borrower will not be credited the replacement fee if the item declared Lost is returned after the 30 days.

If a billed item is returned undamaged within 30 days, the replacement fee is waived. Processing fees are not waived, since the library has already incurred the cost of processing. Borrowers will be billed for damaged equipment. This fee is applied toward repair or, if necessary, replacement of the damaged item.

Fees are payable at Room 116, Student Services Building, 30 Lovett Avenue. No fine money is collected at the Student Multimedia Design Center desk. Fees and fines are assessed consistently and are not waived. Equipment is to be returned to the Student Multimedia Design Center only; do not return to the Library book drop.

RESERVATION

The Center includes two classroom style computer hands-on instruction rooms (Rooms A and B), two GroupLink tables, four multimedia studios (Studio Rooms 1 through 4), a Skype/Digital Graphics studio (Studio 5), and a sound studio (Studio 6). When Room A and Room B are not being used for instruction, the rooms are open and heavily used by individual University of Delaware students, faculty and staff.

    Room accommodations:
  • Room A: 28 Windows computers, including instructor station, 28 person capacity
  • Room B: 19 Mac OS, including instructor station,46 person capacity
  • GroupLink Table 1: one LCD display with VGA cables for 4 devices, 10 person capacity
  • GroupLink Table 2: one LCD Display with VGA cables for 4 devices, 10 person capacity
  • Studios 1-2: 1 Windows computer in each, 6 person capacity
  • Studios 3-4: 1 Mac computer in each, 6 person capacity
  • Studio 5: 1 Mac for Skype calls and a Wacom Centiq 24HD graphics display, 1 person capacity
  • Studio 6: 1 Mac, audio recording equipment, 1 person capacity

The following policies govern the use of these rooms in the Student Multimedia Design Center:

RESERVATION OF HANDS-ON INSTRUCTION ROOMS

  • Reservation of Room A or Room B may be made by faculty and staff of the University of Delaware for hands-on computer/multimedia-related instruction by the instructor to University of Delaware students, faculty, and staff.

  • Reservation requests can be made by filling out a Reservation Request Form online. Reservation requests should not be left on voicemail.

  • Requests should be made a minimum of two business days prior to the desired reservation date.

  • Reservation of the room is subject to usage of the computing site:

       * Both rooms cannot be reserved at the same time between the
         hours of 11 am and 4 pm during the regular semester.
       * Consideration of reservation requests during the last three weeks
         of the semester(including finals week), the busiest time for students
         needing to use the site, will be on a case by case basis.
       * In accordance to University policy, no classes may be held on
         Reading Days.

  • A reservation is not confirmed until the confirmation email is sent to the requester. A confirmation is for the room only; separate arrangements need to be made for staff assistance in teaching. The confirmation should be checked carefully for accuracy. Center staff are not responsible for mistakes made in a reservation request.

  • Classes cannot be scheduled to meet on a regular basis in the rooms or studios of the Student Multimedia Design Center.

  • Specialized software (software not currently available on the Center’s computers) may be made available for use in either of the two classrooms:
    • if the request is made a minimum of one month in advance
    • if the software along with licensing documents are delivered a minimum of one month in advance.

Once the software passes testing done by our IT staff, it will be installed and be made available in the room prior to the reservation date. The software should be tested by the person making the reservation prior to the class meeting. Specialized software may be removed the day following the class reservation.

Reservation of GroupLink Tables       

  • Reservation of GroupLink Table 1 or GroupLink Table 2 may be made by faculty and staff of the University of Delaware for instruction by the instructor to University of Delaware students, faculty, and staff.
  • It is expected that the instructor will use the LCD display during the class for instruction --whether it be from the instructor’s laptop or student laptops. Reservations are not to be made for classes who simply want a reserved space to meet to do group/project work.
  • Please be advised that these tables are located in an open area where there are other non-reservable seats and tables.
  • This area is not considered a quiet study area.
  • Reservation requests can be made by filling out a Reservation Request Form online.
  • Reservation requests should not be left on voicemail.
  • Requests should be made a minimum of two business days prior to the desired reservation date.
  • Reservation of the space is subject to usage of the computing site:

* Consideration of reservation requests during the last three weeks of the semester (including finals week), the busiest time for students needing to use the site, will be on a case by case basis. 

* In accordance to University policy, no classes may be held on Reading Days.

  • A reservation is not confirmed until the confirmation email is sent to the requester. A request is for one GroupLink Table only; a separate form needs to be submitted for the other GroupLink Table if both tables are desired.   • Classes cannot be scheduled to meet on a regular basis in the rooms or spaces of the Student Multimedia Design Center.

Reservation Studios 1 - 6

  • Studio reservations can be made for multimedia work by individuals with a valid UD ID or who have a valid ID card from the following:
    • Delaware State University
    • Delaware Technical and Community College.

  • Reservations can be made by contacting the Center staff by phone (831-8832) or in person at the service desk. Reservation requests should not be left on voicemail. Faculty should use the Reservation Request Form to request a studio for hands-on instruction by the instructor.

  • Studios are reserved in two hour time blocks. Once the two hours are up, if the studio is not reserved during the time following your reservation, you may reserve the studio for an additional two hour time block. Please "check in" at the Service Desk 15 minutes prior to the end of your reservation to determine availability.

  • Multiple studios may not be reserved by the same user or group, except by faculty using them for hands-on instruction or in order to use the Studio Mic Kit(s) and the crossover link between Studios #4 and #6. In this latter instance, both studios may be reserved concurrently under a single name. Upon check-in at the service desk, that user must be present and must check out (and utilize) at least one of the Studio Mic Kits. This type of dual-studio reservation may not be renewed at the end of the standard two hour time block.

  • Reservations of the studios may be made a maximum of one week in advance.

Cancellation of Reservations

  • Please remember that this is a heavily-used area. If a reservation must be canceled, the person who made the reservation should contact the Student Multimedia Design Center staff as soon as possible.
  • In the event a person or group scheduled for a reservation is more than 15 minutes late, the reservation will be canceled automatically and the room made available for general use.

VIDEO TAPING

The privacy and security of the users in the Library is a primary concern. Videotaping and photography may take place only in the footprint of the Student Multimedia Design Center, located on the lower level of Morris Library.

While videotaping and/or taking still photography in any of the Studios, Classrooms, or open area workstations in the Student Multimedia Design Center, students should be respectful of disturbing others and not include images of others in their taping without the consent of these people.
